You have a sheet for the budget. A second one for the guest list you started in March. A Notes app dump of vendor Venmo names. A WhatsApp thread where your mother added twelve people after you locked the headcount. A seating sketch in a third file that still has your college roommate at table 4, and he RSVP'd no six weeks ago.
None of those files talk.
So you open all of them on Sunday night and do the math again. Planned vs paid. Invited vs coming. Deposit vs remaining. You get a number you almost trust, you screenshot it, you go to sleep. Tuesday the florist invoice lands and the number is already wrong.
You are not bad at planning. You are running a $20,000 project on files that do not share a cell. Excel is not the enemy. Twelve Excels is the enemy.
That is the job. Not Pinterest. Not a binder with tabs that look expensive in a TikTok. The job is one remaining dollar and one headcount that update when you type.
A wedding is not a vibe. It is three numbers that fight:

If you have ever pasted the same guest names into a new file because the last one "felt messy," you already know the pattern. The fourth rebuild is not a personality trait. It is what happens when seating cannot see RSVP, and budget cannot see the deposit you logged in Vendors under a slightly different category name.

Total planned. Total paid. Remaining, large. Percent used. Invited / yes / pending / no. Headcount against the venue cap. Next vendor payment (date and amount). Next seven days.
You do not type those. Budget, Guests, Vendors, and Calendar push them. If remaining is red, it is red because a formula did the subtraction, not because you hoped.

Categories you already know: venue, catering, bar, photo, attire, flowers, music, stationery, beauty, transport, officiant, extras, a 10% buffer.
Each row: planned, paid, remaining, percent, status. Paid is not a second guess. It adds up from Vendors by category. Log the florist deposit once. Budget updates. Dashboard updates. You do not keep a shadow column in Notes.
If a category goes over, the row goes red. That is the whole fix.

Name, party size, side, RSVP, meal, allergy, plus-one, table number.
The column that matters is purge: must / if-room / cut.
Must = they are coming if they RSVP. If-room = they wait until the cap has air. Cut = they do not count even if someone already texted yes. The running headcount uses party size and ignores empty rows. The venue cap sits in one cell. Over cap, the number goes red before you print escort cards.
This is the fight with your mother, written down, so you are not doing it in a parking lot.

Tables 1 through N. Seats per table, default 8, you can change it.
Names only appear if Guests says RSVP yes and purge is not cut. Unseated people sit in a list at the top so you see the hole. Meal counts by table, because catering will ask and you will not want to count salmon by hand at 11pm.
It is not a 3D ballroom. It is a grid that cannot seat a no.

Name, category (same list as Budget), contact, contract, deposit, remaining due, due date, status.
Remaining due is contract minus deposit. Due dates feed Calendar. Status paid stops nagging. The deposit you type here is the Paid the Budget tab uses. One payment, one place.
